Applicant Privacy Notice

This Notice describes the categories of personal information (“PI”) which may be collected by Office Solutions Business Products & Services, LLC and its subsidiaries or affiliated companies (collectively, “Company”), and the purposes for which the PI may be used. This notice applies to all individuals applying for a role with the Company and all Company employees.

Identifiers and Contact Information
• Names, addresses, phone numbers, mobile numbers, email addresses
• Dates of birth, Social Security numbers
• Driver’s license or state ID numbers
• Bank account information, signatures, and other identifiers

Protected Classification Information
• Residency and work permit status
• Gender, race, and ethnicity

Internet or Other Electronic Network Activity Information
• Activity on the Company’s systems (internet browsing, intranet, apps, emails, social media, stored documents, usernames/passwords)
• Activity on communication systems (calls, voicemails, texts, chat logs, app use, mobile browsing, emails)
• Careers site visits may include cookies, web beacons, tags, and scripts

Geolocation Data
• GPS location data from company-issued devices and vehicles

Audio, Electronic, Visual, Thermal, Olfactory, or Similar Information
• Data from cameras, thermometers, or similar devices

Biometric Information
• Fingerprint scans and wellness metrics

Professional and Employment-Related Information
• Employment application data (history, title, licenses, professional memberships, recommendations)
• Background check, criminal history, motor vehicle records
• Work authorization and fitness-for-duty data
• COVID-19 exposure or symptom information
• Travel and close-contact information
• Performance, disciplinary records, salary, bonus data
• Health and insurance information (claims, enrollment, IDs, prescriptions)
• Leave of absence information (religious/family obligations, health of employee or family)
• Financial information (bank account/routing numbers)
• Individual preferences or assessment results for hiring or promotion

Education Information
• Education history

Inferences Drawn from PI
• Human capital analytics, correlations about job success, retention analysis, benefit plan evaluation, employee preference analysis

Sensitive Personal Information
The Company collects certain sensitive personal information under California law, including:

• Social Security numbers, driver’s license/state ID numbers
• Financial account information
• Precise geolocation data
• Racial or ethnic origin
• Health and biometric information
• Information about protected characteristics

Use: Only for lawful business purposes (background checks, payroll, benefits, compliance, safety). Sensitive PI is not used for other purposes.

We collect PI to:

• Process applications, confirm eligibility, conduct background checks, and onboard employees
• Administer payroll, benefits, and leave of absence programs
• Maintain personnel records and comply with retention laws
• Communicate with employees, emergency contacts, and beneficiaries
• Comply with health, labor, employment, tax, benefits, safety, and other laws
• Prevent unauthorized access to Company property and systems
• Ensure employee productivity and policy adherence
• Investigate complaints or policy violations
• Support diversity and inclusion programs
• Facilitate secure use of information systems
• Improve employee, customer, and public safety regarding Company property
• Enhance efficiency, logistics, supply chain, and time management
• Evaluate suitability for positions or promotions
• Authenticate careers site access and capture interactions and preferences
• Customer engagement and other legitimate business purposes

The Company may share PI with: 

Internal Departments: HR, management, IT, and other relevant teams.
Service Providers: Vendors assisting with recruitment, background checks, payroll, or HR functions.
Legal Compliance: Government authorities or law enforcement as required by law. 

We do not sell or share personal information for cross-context behavioral advertising purposes. Disclosures to service providers are strictly for business purposes.

  • • Technical and organizational measures are in place to protect PI.
    • PI is retained for at least four years from collection, or longer if required by law or to fulfill the purposes outlined above.

California residents may:

  • • Know what PI is collected and the purposes of use
  • • Access the PI we hold about you
  • • Request correction or deletion of PI (subject to legal exceptions)
  • • Limit the use and disclosure of sensitive PI
  • • Not be discriminated against for exercising these rights
